Inventory Process for Fixed Assets & Capital Equipment


Through over 30 of inventory experience, we’ve developed a standard inventory process.

However, Asset Services understands that no two clients are alike; therefore, we know that each client will have varying project goals and inventory needs. We will work with you from day one to get a firm understanding of your organization and what you are looking to accomplish.

The following is an overview of the standard inventory process:

Pre-Inventory

  • The project manager at Asset Services will review the facility locations and floor plans with the organization’s project manager to identify any areas of the facility that may require special attention.

Asset Services Methodology

  • Small inventory teams will work in close proximity as they methodically sweep through the facility. The team lead references floor plans to track and ensure that all areas have been completed, or note areas that need to be revisited.
  • The inventory specialists at Asset Services are extremely sensitive to employees, and always make very attempt to minimize disruptions

Asset Tagging

  • Asset Services will apply a property tag to each item included in the project scope. The inventory teams will collect all descriptive data pertaining to each item. All inventory data is collected through state-of-the-art personal data collection terminals (PDT). This methodology ensures precision. It is through the use of modern technology that we are able to incorporate images and other media in the inventory reports, ensuring you receive comprehensive data.

The inventory professionals at Asset Services are experienced in performing equipment inventories in a variety of environments. From corporate office environments to large manufacturing facilities, our teams have experience inventorying it all. The Asset Services inventory specialists are always sensitive to the work environments, and the needs of employees. Asset Services takes pride in our ability to perform an inventory with no disruption to our clients employees.

The Asset Services inventory teams will progress through the building and apply barcode property tags to each fixed asset. Information such as location, department, description, manufacturer, model and serial number will be recorded in state-of-the-art barcode data collection terminals. This information is then uploaded to the Asset Services database for our data specialists to review and normalize. After the team reviews the data, the inventory reports are provided to you as an electronic spreadsheet or delimited format for analysis and easy integration into your existing asset management systems.
